Operations Assistant


Larson is seeking an Operations Assistant who will be responsible for performing a variety of activities and support services which may include reception, operations, facilities, file management, and duplication.

Essential Functions and Responsibilities

  • Provide backup coverage for the reception desk in the absence of the regularly scheduled receptionist. This includes covering for daily meal and rest breaks as well as when the regularly scheduled receptionist is out of the office.
  • Assist the operations and administrative staff with scheduling and organizing conference rooms, office equipment and facility space amenities. Assist with the set up and break down of chairs, tables, equipment and decorations for special events or holidays.
  • Stock convenience areas and pantries with designated supplies and amenities, including office supplies, kitchen paper products, plastic utensils, beverages, snacks, other refreshments or meals.
  • Assist with the set up of offices for new partners or employees. This includes communicating new employee information to all parties involved in the onboarding process.
  • Utilize appropriate duplication equipment to provide document production services for the office, including scanning and photocopying.
  • Assist with the organization of client files. Retrieve files upon request from attorneys, paralegals and secretaries. Coordinate with offsite storage facilities for file delivery or retrieval.
  • Coordinate with vendors on courier requests or copy/print jobs that need to be outsourced, providing all relevant information such as client matter numbers, job specifications and timelines.
  • Other tasks, projects or responsibilities that may be assigned from time to time.

Required Qualifications (Experience, Knowledge, Skills, and Abilities)

  • A high school diploma or equivalent.
  • A minimum of one (1) year of operations, reception, guest services, hospitality, or related experience.
  • Display the organizational skills needed to manage time well, prioritize effectively and handle multiple deadlines.

Hours and Benefits

  • Non-exempt position. Overtime may be requested.
